VSTECS (Singapore) Pte. Ltd. (UEN 198401965K) ("VSTECS", "we", "us" or "our") is committed to protecting the privacy of visitors ("you" or "your") to our website https://www.workplace-devices.sg/ (the "Website"). This Privacy Policy (the "Policy") explains how we collect, use, disclose and protect your personal data through the Website, in line with Singapore’s Personal Data Protection Act 2012 (the "PDPA"). We aim for the Website to be a safe and enjoyable environment for you.

This Policy mainly describes:

  • the personal data VSTECS collects through the Website, which is operated from Singapore;

  • how we use and disclose it, including the role of cookies and similar technologies; and

  • how we protect it, and your rights to access and correct it.

This Policy does not govern information VSTECS collects other than through this Website, or information collected by VSTECS’s related companies.

Please read this Policy before using the Website. By using the Website, you agree to this Policy and our Terms & Conditions, available on the Website. If you do not agree, please do not use the Website.

1. Information Gathered through the Website

We gather two types of information through the Website: (i) "personal data", meaning data from which you can be identified, and (ii) "aggregate information", from which you cannot be identified.

Personal data

You don’t need to register or give us personal data to browse the Website. We collect personal data when you give it to us, for example when you:

  • create an account or sign in;

  • verify your work email address for Corporate+;

  • place an order as a signed-in Business or Corporate+ customer;

  • contact us through the Website, including to ask about Corporate+ for your organisation;

  • sign up for emails about our products and promotions; or

  • take part in surveys or promotions.

This may include:

  • contact details: first name, last name, email address and phone number;

  • delivery and billing address: address lines, postal code and country;

  • for Corporate+: your work email address and the participating organisation it belongs to;

  • order details: the products you buy, your order history and your messages to us; and

  • payment information: card payments are processed by our payment service provider, 2C2P. VSTECS does not receive or store your full card number.

Aggregate information

When you visit the Website, VSTECS and the service providers we work with may collect anonymous information from three sources: server log files, cookies and pixel tags.

Server log files

Your Internet Protocol (IP) address is a number automatically assigned to your device by your internet service provider. It is logged automatically in server log files whenever you visit the Website, along with the time of your visit and the pages you visited. We use IP addresses to calculate Website usage levels, diagnose problems with the Website’s servers, administer the Website, and advertise and market the products sold on it. We may also use IP addresses to block visitors who do not comply with this Policy or our Terms & Conditions.

Cookies

Cookies are small text files that a website stores on your device, which let it recognise your browser. Cookies do not damage your device or files. Most browsers accept cookies automatically, but let you delete existing cookies, block them, or choose which to accept. Please note that blocking cookies may make parts of the Website, such as the cart and checkout, difficult or impossible to use.

We use cookies where they are technically needed to provide the Website (for example, to keep items in your cart and keep you signed in). Session cookies are deleted when you close your browser. Persistent cookies stay on your device for up to 1 year unless you delete them. For details on managing cookies, please see the help function of your browser.

Pixel tags

The Website may use "pixel tags", "web beacons", "clear GIFs" or similar means (together, "Pixel Tags") to compile aggregate statistics about Website usage and response rates. Pixel Tags let VSTECS, or a party authorised by VSTECS, count the users who have visited certain pages of the Website.

Analytics and advertising tools

We do not currently use third-party analytics or advertising tools. Shopify provides us with aggregate store analytics under its own privacy policy.

2. Use and Disclosure of Information Gathered through the Website

How we use personal data

VSTECS may use your personal data to:

  • process, deliver and support your orders, including returns, refunds and cancellations;

  • verify your eligibility for Corporate+;

  • issue tax invoices;

  • respond to your questions and comments;

  • send you important information about the Website, your orders, and changes to our terms and policies ("Critical Communications");

  • send you promotions, where you have agreed to receive them;

  • run contests and promotions you choose to take part in;

  • analyse and manage our business, and improve the Website and our services;

  • prevent fraud and enforce our Terms & Conditions; and

  • comply with legal and regulatory requirements.

Promotional communications

With your consent, VSTECS may, directly or through authorised service providers, send you email about promotions and offers on the Website. We comply with the Do Not Call provisions of the PDPA. You can stop receiving these communications at any time by using the unsubscribe link in any email, or by contacting us (see Contact Us below). You can’t opt out of Critical Communications, as they contain important information about your orders and the Website.

Contests and promotions

Contests and promotions on the Website may ask you to register and give certain personal data. VSTECS may share this personal data with third-party sponsors of the contest or promotion, in line with its rules. Please read the rules of each contest or promotion carefully, as they may contain more information about how your personal data is used.

Who we share personal data with

We may share your personal data with:

  • service providers who help us run the Website and fulfil orders, such as our e-commerce platform (Shopify), our payment service provider (2C2P), delivery partners, and providers of IT, analytics, email and customer service tools. They may use your personal data only to provide their services to us;

  • Google, as the manufacturer of the products, where needed for warranty support;

  • your participating organisation, only as far as needed to confirm your Corporate+ eligibility. We don’t share details of your purchases with your employer;

  • third-party sponsors of contests and promotions you take part in, as described above;

  • a buyer or successor in the event of a merger, sale, joint venture, assignment or other transfer of all or part of VSTECS’s business or assets; and

  • authorities or others where we believe we are required to: (i) by law; (ii) to comply with legal process or government requests; (iii) to enforce our Terms & Conditions; (iv) to protect our operations; or (v) to protect the rights, privacy, safety or property of VSTECS, you or others.

Transfers outside Singapore

Our service providers, including Shopify, may store and process personal data outside Singapore. When we transfer personal data outside Singapore, we take steps to make sure it is protected to a standard comparable to that under the PDPA.

Aggregate information

VSTECS may analyse aggregate information to improve Website security, see which pages are popular, measure the success of our emails and advertising, and assess traffic and usage. This helps us tailor content to your interests and improve the Website. We may share aggregate information with authorised third parties that provide these services or help complete your orders.

3. Other Important Notes about Our Privacy Practices

Children

The Website is intended for a general audience and is not intended for use by children under 18 years of age. If you are under 18 and want to buy something on the Website, please ask your parent or guardian to complete the purchase. VSTECS does not knowingly collect personal data from children under 18 or contact them for marketing.

Security

VSTECS has reasonable security arrangements in place to protect personal data in our possession or under our control from unauthorised access, collection, use, disclosure, copying, modification, disposal, loss or misuse. Information you send through the Website, including payment details, is encrypted in transit using industry-standard TLS (Transport Layer Security). While we work hard to protect your personal data, no method of sending information over the internet is completely secure, and we can’t guarantee the security of information you send to us. If you believe your interaction with us is no longer secure (for example, if you think your account has been compromised), please contact us immediately (see Contact Us below).

Retention

We keep personal data only for as long as it is needed for the purposes for which it was collected, or as required for legal or business purposes. Order and tax invoice records are kept for 5 years.

Other third-party websites

The Website may contain links to third-party websites. VSTECS does not control these websites and is not responsible for their privacy practices or content. A link does not mean that VSTECS endorses the linked website. If you give personal data or payment information on a third-party website, it will be collected and controlled under that website’s privacy policy, so please read it before doing so.

Access, correction and withdrawal of consent

You may ask to access the personal data we hold about you, or to correct it, by contacting our Data Protection Officer (see Contact Us below). Please state clearly what you would like to see or change. We will respond as soon as reasonably possible. If we can’t respond within 30 days, we will tell you when we expect to. We may charge a reasonable fee for access requests and will tell you the fee in advance.

You may also withdraw your consent to our collecting, using or disclosing your personal data at any time by contacting us. If you do, we may not be able to continue some services, such as processing your orders, and we will explain the likely consequences before acting on your request.

Please note that after a change or deletion, some residual information may remain in our records, for example where we must keep it for legal reasons.

Direct marketing by third parties

VSTECS will not disclose your personal data to its related companies or other third parties for their direct marketing if you ask us not to. To make this request, please contact us (see Contact Us below).

Changes to this Policy

VSTECS may change this Policy, and its practices for handling information collected through the Website, at any time. The "Last updated" date at the top of this page shows when this Policy was last revised. Changes take effect when the revised Policy is posted on the Website, and using the Website after that means you accept the revised Policy. We encourage you to review this page from time to time.

This Policy is the sole authorised statement of VSTECS’s practices for collecting and using personal data, aggregate information and payment information through the Website. Any summary of this Policy produced by third-party software or otherwise has no legal effect and does not replace or change this Policy.

Governing law
